Keeping things in your account
At the bottom of a page you were sent there's a line to "Sign in or create an account" and keep it. Signed in already, it's a button: "Keep this in your account". You can keep a page you've answered, or one you haven't yet, so it's easy to find later.
Once this phone or computer is signed in, anything you answer on it is kept for you. Answers you gave before that aren't added on their own, even with the same email address, because anybody can type an address into an answer. Keep each one from its page, or from the link in the email it came with.
Kept things live under "Sent to you" in the account menu, and nowhere else. The organizer isn't told you have an account, with one exception: keeping your place on somebody's list of people shows them a "Has a profile" label next to your name, and the page says so before you press.
Your week
"Sent to you" opens on "Your week", everything you're on in one list. "What's coming up" splits it into "Coming up", "No date on these" and "Already happened". It shows:
- places you've taken on a sign-up sheet or a shift schedule,
- head counts you've said yes or maybe to,
- times that have been locked in on a page asking when you're free.
A page you've answered "no" to, or one still deciding on a time, isn't on it until there's something to show. Pages you kept before answering are under "Saved for later", and your own links to shift schedules under "Your shift schedules". Keep each schedule from its own link; keeping your place on a list doesn't add the schedules made from it.
Your usual week
"Set your usual week" lets you mark the times you're normally free, from 6 am to midnight, half an hour at a time. Leave anything blank to mean "it depends". Set the time zone it's in, and it still lines up when somebody in another zone sends you something.
After that, a page that asks when you're free arrives with your times already marked, and a line at the top saying so. Check it, change anything, and nothing is sent until you press save. Sign-up sheets and head counts aren't filled in.
"Days that break the pattern" covers a vacation or a week you're around when you normally aren't: pick the days, then "Not around" or "Around, unusually". We don't ask why. Each one is removed a couple of days after it ends, and you can have up to 60 at a time.
Connecting a calendar
Connect a calendar and the times you're already booked are left off when a page is filled in for you. We keep the start and end of each busy time over the next two weeks, and nothing else: no titles, places or guest lists.
For any calendar, paste its subscribe address under "Or paste a calendar address". Apple Calendar, Fastmail, Proton and Nextcloud all have one, and so do a lot of class and team schedules. These update slowly, often once or twice a day, at a pace set by whoever publishes them. Treat that address like a password: anybody who has it can read the whole calendar. We encrypt it and never show it back in full.
You can connect up to 5 calendars. If one stops working, it shows "Needs reconnecting" and we email you once. "Disconnect" deletes it and everything we'd kept from it.
Letting a group see when you're free
If you keep your place on somebody's list of people, "Who can see your usual week" on "Sent to you" lists that group. It's off until you press "Share with them". Then the organizer can see whether you're usually free when they're filling a shift schedule, without asking you each time. They see "Free then" or "Busy then", never your calendar or what you're doing.
"Stop sharing" stops it right away. Sharing also ends by itself a year after you said yes, and we email you when it does, unless you've asked us to stop emailing you.
Phones, computers and signing in
Each phone or computer signs in on its own. The pages you're sent live on a separate address from the rest of the site, and never get to see who you are on another device, which is also why a link you forward to somebody doesn't carry your account with it. Sign in once on each device you use. The pages you're sent stop recognizing a device 365 days after you signed in on it, however often you answer from it, and the next time you sign in there they recognize it again.
On a shared computer, "Not you? Sign out on this device" at the bottom of a page you were sent stops every page you're sent from recognizing you on that device, though you stay signed in to the rest of the site. "Sign out" in the account menu signs out both. There's more about signing in on Your account.
Your data
Under "Your data" on "Sent to you", "Email me everything you hold" sends you a link to confirm, then a file with your profile, your usual week, the answers kept in your account, your calendars (not their contents) and who you share with.
"Delete my account" shows you exactly what goes before anything does. Answers you gave on other people's pages stay on those pages, no longer linked to you, because taking them away would change other people's results. To remove those too, use Remove your responses, or take each one back from its page while it's open.
Didn't find what you were after? The rest of the help pages might have it, or write to us and somebody will answer.
