Pages on the free plan
A page on the free plan is deleted, with every answer on it, 12 months after its last activity. A month here is 30 days, so that's 360 days.
Activity means somebody answering, changing their answer or taking it back, or, on a sheet or schedule, being put on or giving something up. Opening the page, editing it, closing it, sending a message or downloading the spreadsheet don't count.
A page made without an account is always on the free plan. A page saved to an account is on that account's plan.
The warning
14 days before a page is deleted, we email one address: the one typed on the page, or, if there isn't one, the address of the account it's saved to. The email says when, and suggests downloading the answers first. If anybody answers in the meantime, the clock starts again.
- The warning is sent even if that address has used "Stop these emails". It's about your own things.
- The page isn't deleted until the warning has been sent off to that address and 14 days have passed. If our sending is paused, we keep trying.
- If the address can't receive email at all, because mail to it bounced, it reported us as spam, or we've blocked it, there's nobody to warn, and the page is deleted on the day.
- A page with no address typed on it and no account has nobody to warn, so it's deleted on the day too. Typing your email when you make a page, or saving it to an account, is what gets you a warning.
Pages on a paid plan
While the account's plan is paid for, its pages are never deleted on their own. If the plan ends, the 12-month clock starts from that day, with the same warning. Everything else that changes is under When a plan ends.
Pages nobody answered
On the free plan, a page that never got a single answer is deleted 30 days after it was made, with no warning, unless something on it is still to come: a closing date, a day on the grid, a date and time on a head count, or a time on a row. A page that only asks about days of the week, or a sheet with no times on it, has nothing still to come. If the account's plan ended more recently, the 30 days count from then.
"Never got an answer" means never: a page somebody answered, even if they took it back later, follows the 12-month rule above, with its warning. On a paid plan, pages with no answers are kept.
Shifts
On the free plan, each shift a schedule makes is kept for 12 months after anything last happened on it. After that, once the shift has taken place, it's deleted, without an email of its own. The schedule stays. A shift nobody signed up for is never deleted as an empty page, because the schedule's history is made of them.
Paused pages
A page paused while we look at a report, or at something our own check flagged, is left out of all of the rules above until it's un-paused. Its owner can still see and download everything on it. If they delete their account in the meantime, the page and its reports are kept until we've looked, then erased.
Deleting a page yourself
"Delete this", at the bottom of the console, asks you to type the page's title. Both of its links stop working at once. For 7 days it can be put back if you write to us; after that it's erased.
Deleting a page removes its answers, its rows, any reminders still to go, the addresses you added to ask, its logo, and the record of which websites could show it. A page removed by one of the rules above is erased the night it's removed, with no 7 days.
Some things aren't in our hands by then: emails already sent, spreadsheets already downloaded, and anything already sent to a webhook. A list of people's running tally of who has done what isn't removed with one page, because it belongs to the list.
Deleting your account
"Delete my account", on the account page, opens a list of what goes and asks you to confirm by email. Your pages stop working at once and are erased 7 days later. Everything else goes at once: lists of people, repeating things, shift schedules, API keys, webhooks, chat connections, helpers, your usual week and calendars, what you've kept, and every way of signing in.
Answers you gave on other people's pages stay there, no longer linked to you. Pages you made without an account, and never saved to it, aren't linked to it either, so they stay until the rules above remove them or you delete them with their private links. The steps, and what has to happen first on a paid plan, are in Your account.
Removing your answers
Remove your responses takes out every answer given with your email address, on every page, once you confirm from the email we send. It happens at once, and can't be undone. If you have an account under the same address, everything in its "Sent to you" goes too. The account itself stays if it holds anything of its own, like pages, lists, schedules, keys, helpers, or a plan now or in the past; you can write to us to remove those.
It only finds answers given with that address. Answers you gave without an address, or with a different one, stay. To remove one of those, take it back from its page while the page is open.
What we keep longer, and why
| What | How long | Why |
|---|---|---|
| A log of emails sent, with addresses scrambled | 90 days | To notice if our email starts being reported as spam, and to look into a complaint |
| Addresses that asked us to stop, bounced or complained, scrambled | Until undone | So we never email them again by mistake |
| Reference numbers for payments, from Paddle | 30 days | So one payment is never counted twice |
| The record of sharing your usual week | Longer than your account | It's the proof of what you agreed to and when you stopped |
| A record of any data breach | Two years | Canadian law requires it |
| Our host's backups of the database | 30 days | To recover from an accident; deleted things stay in them until they roll over |
"Scrambled" means stored as a fingerprint that can be matched against an address but not turned back into one. The privacy page covers who else handles your data, and your rights over it.
Didn't find what you were after? The rest of the help pages might have it, or write to us and somebody will answer.
