The four plans

The four plans and what they cost

Free isn't a trial, and it doesn't run out. Pro is paid monthly or yearly; Group and Site are yearly. Paddle takes the payment as the seller of record and works out the sales tax, so the charge on your statement comes from them.

What changes between plans

The table shows only what changes. Everything else is the same on every plan: the three kinds of page, spreadsheet and calendar downloads, messaging everybody who answered, asking the people you invited who haven't answered, swapping shifts, and the Discord and Slack apps.

Lists of people, repeating things and shift schedules need a free account, because they outlast the page you first made them for. Making a page, and answering one, never needs an account. New pages are counted per internet connection, which keeps junk off the site. On the free plan, a page nobody has answered is removed 30 days after it was made, or after a paid plan ended if that's later, unless its date is still to come.

Site isn't in the table because it's sold by invoice. It has everything Group has, and up to 25 people can share the organizing instead of 5. More about Site is further down.

What needs an account

Making a page never needs an account, and neither does answering one or running a page you made: the private link you get when you make it opens everything for that page.

A free account is needed for:

  • having all your pages in one list, under "Your pages"
  • lists of people, repeating things and shift schedules, because they outlast any one page
  • adding people who help you manage your pages
  • API keys, webhooks, and showing a page on your own website
  • the Discord and Slack apps
  • keeping what other people send you in one place, under "Sent to you"
  • your usual week, and connecting a calendar to it
  • paying for a plan

An account needs only an email address. You can add a password or other ways to sign in later, from "Ways to sign in".

Whose plan a page is on

A page is on the plan of the account it belongs to. That's what decides its limits, and whether it shows the "Made with Whenabouts" line.

  • A page you make while signed in belongs to your account from the start.
  • A page made without an account is on Free, whatever plan you pay for. To move it onto yours, open it from its private link and choose "Save this to your account". The private link keeps working afterwards.
  • People helping you manage work under your plan on your pages. Their own plan makes no difference.

When you reach one of these, the page says which, and when you can try again if it's a matter of waiting.

Paying for a plan

Plans are bought from Plans and billing, which needs a free account. The checkout is Paddle's and opens over the page, so it needs JavaScript switched on. We never see your card number. Your plan changes as soon as Paddle confirms the payment, usually within a few seconds.

Receipts come from Paddle. Once you've paid, Plans and billing has a link to Paddle's billing portal, where your card, your past invoices and cancelling are.

To move between monthly and yearly, or between Pro and Group, write to us and we'll change it. You can't buy a second plan on top of one that's still running.

You can't delete your account while a plan is set to renew. Cancel it first, and then you can delete the account right away. Site is paid by invoice, so to end it, or to delete an account on it, write to us and we'll close the plan and delete the account together.

If a payment fails

Paid features carry on for 7 days after the end of the period you'd paid for. We email you when the payment fails, and again shortly before those days are up. These two come even if you've unsubscribed from reminders, because they're about your own account.

Updating your card in the billing portal usually fixes it. If the payment goes through in that time, nothing changes. If it doesn't, the account goes back to Free, as described next.

When a plan ends

You cancel in Paddle's billing portal. A cancelled plan runs to the end of the period you paid for, then the account is on Free. Nothing anybody has answered is deleted that day. This is what changes:

  • The "Made with Whenabouts" line comes back on your pages.
  • Your colour and logo stop showing. They're kept, and come back if you subscribe again.
  • A link ending you chose keeps working. You can go back to the short link, under "How it looks, and who gets in", but you can't choose a new ending.
  • A PIN stays on, and people still need it to get in. You can take it off, but not change it.
  • Reminders you'd already set still go out, and you can still call them off. You can't set new ones.
  • People helping you manage lose access. If you subscribe again, as many as the plan has room for get it back, without a new invitation.
  • Lists of people, repeating things and shift schedules keep working. Free allows one list, one repeating thing and one shift schedule at a time, so you can't start another while you already have that many. A list can't grow past 25 people, a schedule can't give its own link to more than 15, and you can't add roles past 5.
  • Shift schedules are published 4 weeks ahead, instead of up to a year. Shifts further out that nobody has taken are removed; the ones somebody has taken stay. Suggesting a fair split, and seeing who's free, stop. Swapping shifts carries on.
  • A page keeps every response it already has. One with 200 or more doesn't take any new ones, and a sheet with 200 or more rows can't take another.
  • API keys keep reading, up to 1,000 requests a day. Changing things through the API stops, and you can't make a new key while you have 2 or more.
  • Webhooks stop sending, and we email you once to say so, unless you've turned our emails off. The addresses are kept, and sending starts again if you subscribe.
  • Websites you'd already added keep showing your pages. You can't add a site to a page that already has 3 or more.
  • Your pages are kept for 12 months, counted from whichever is later: their last response, or the day the plan ended. We email you 14 days before one is deleted. A shift that has already happened goes without an email.
  • A page nobody has answered, with no date on it still to come, is removed 30 days after the plan ends, without an email.

Subscribing again puts the paid features back on everything you've made.

Refunds and discounts

If you ask within 30 days of paying, you get the whole amount back, and you don't have to say why. Write to us. After 30 days, write anyway and we'll look at it. A refund ends the plan the day it goes through: the account goes back to Free, and nothing on it is deleted.

Schools, churches and registered charities pay half, on any plan. Write to us from an address at your organization and we'll send you a code. On Site, that's US$150 a year.

Buying for a school or organization

Site is paid by invoice rather than by card. It has everything Group has, and up to 25 people can share the organizing.

Ask for it on the Site plan form: who to invoice, where invoices should go, and a purchase order number if you need one on the invoice. We reply within two working days with a quote your finance office can raise a purchase order against, then send the invoice. Nothing is charged until it's paid, and the plan switches on as soon as it is.

The plan is matched to a Whenabouts account by its email address. Put the address you sign in with in "Your email" on the form, or say in the notes which address the plan is for, even if the invoice goes to somebody else.

The accessibility report, the data-processing addendum and the security summary are public, on every plan. You can send them to whoever is reviewing this without asking us first.

Getting an answer from us

On a paid plan, Site included, we reply within two working days. On Free, as soon as we can, which is usually about the same. Security and accessibility problems go to the front of the line. The contact page says where to write about what.
