Birthday party RSVP
Find out who's coming, and how many they're bringing.
Send one link to the guest list and see who's coming to the birthday party, and how many people each of them is bringing. Set a limit if the venue has one, ask one question, and everyone who says yes or maybe and leaves an email gets a reminder the day before.

How to set it up
- Set the date and the placePick the day, check the times, and put the address in “Where”. Add a map link and the page shows a “View map” button.
- Decide on guestsEach answer can bring up to three more, which covers a partner, or a parent and siblings. If the venue has a limit, set “Total room for”, and “Yes” closes once you're full.
- Send the linkText it, email it, or put the QR code on a printed invitation. Nobody needs an account to answer.
- Keep an eye on the countYour private link shows the total with guests counted, and the answers to your question are in the spreadsheet you can download there. If you left your email, you'll hear within the hour when someone can't make it.
What helps
- Send it two or three weeks ahead, and set “Stop taking responses after” for the day you need to give the venue or the bakery a number.
- Answers to your question aren't shown on the page, only in your spreadsheet, so people can be honest about what they can't eat.
- For a children's party, have parents answer under their own name and leave their own email for the reminder.
- If a “no” on show would be awkward, turn on “Hide who's coming”. Guests see the counts, and you still see every name.
- The reminder the day before goes by itself to everyone who said yes or maybe and left an email, with what they answered and a link back to the page.
Something to send with the link
Copy it into a text, an email or the group chat, change what you like, and paste your link at the end.
Questions people ask
- Do guests need an account to answer?
- No. They open the link, choose yes, no or maybe, and say how many are coming with them. An email is optional, and anyone who leaves one gets a copy of their answer, with a calendar file unless they said no.
- Can people bring others?
- Yes. This template lets each answer bring up to three guests, and the head count includes them. Change “Guests each”, or uncheck “People can bring others” if it's only the people you invite.
- What happens when we're full?
- If you set “Total room for”, “Yes” closes once the head count reaches it. People can still answer maybe or no, so you still hear from them, and anyone who already said yes keeps their place.
- Will guests get a reminder?
- Yes, about a day before, to everyone who said yes or maybe and left an email, on every plan. To switch it off, check “Don't send a reminder the day before”.
- Can people change their answer?
- Yes, until you close it or the closing date passes, from the link in their email or on the same phone or computer they answered on.
