The poll closes, the time goes at the top of the page with “Add it to your calendar”, and everyone who left an email gets it with a calendar file.

Can families see who's free when?

Yes, under the grid, unless you turn on “Hide who picked what until you close it”. Then they see counts until you close it or lock in a time.

What helps

Only offer times you can actually book the field, gym or rink. Check with the facility first.
Half-hour blocks find a practice of any length. A ninety-minute practice shows up as three blocks in a row with the same players free.
Set a closing date a day or two before the earliest evening, so you can book and tell everyone in time.
For a regular weekly time instead, the Team practice template asks about days of the week.
